CRS - Returns and Exchanges


  • What can I return?

    • Eligible:
      Stocked products in like-new condition are eligible for full refunds (CC fees may apply) as long as CRS is notified within 15 days from the date of delivery. Return requests between 16-30 days from the date of delivery will be subject to a 20% restocking fee.

    • Not Eligible:
      No returns, exchanges, or transfers of ownership are available for any of the software licenses or software issued by Conference Room Systems or related vendors. Special order, custom-built, and b-stock items may also be excluded from our standard return policies so please discuss with a CRS account manager to determine if any specific products would fall within this category.

  • When will I get my refund?

    • Return shipping can take up to 6 business days within the USA and 2 weeks internationally. Returns are generally processed within 1-7 business days from receipt at our warehouse.

  • What should I do if I suspect a manufacturer’s defect?

    • For PTZOptics and HuddleCamHD products:
      Please reach out to our entire support team by submitting a ticket, here. You can also contact via email,, or calling our main number, 610-518-2200, and requesting support (x1004).

    • For products from other brands:
      Our support team can generally assist with basic troubleshooting for products that we offer through our website. However, it is often best to reach out to the original product manufacturer, as they are generally more familiar with their own products and relevant issues.

  • What is the procedure for returning a product?

    • Contact your CRS Account Manager with the relevant order number and product information

    • Your RMA request will be reviewed and, as long as it is approved, documentation will be prepared and provided by a CRS Account Manager via email. UPS return labels are also available by request and the total cost of shipping will be deducted from the final refund.

    • If the product has been opened, please ensure that the product is appropriately repackaged and containing all original contents.

    • Place the product box within a separate box or shipping container along with any necessary packing materials to avoid damaging the product box or contents.

    • Upon receipt, the product will be reviewed by our support staff. If the product is in-like new condition and there are no other issues, an appropriate refund will be issued. If there are any problems with the return, a CRS account manager will contact you to offer an appropriate resolution.

  • What if I can’t afford any downtime?

    • CRS does offer advanced replacements for HuddleCamHD and PTZOptics products. This process requires putting a hold on a credit card for the full cost of a new order, which is then shipped to you. The first unit must then be returned to CRS via the RMA process for review by our support team. If that unit is found to be defective or acceptable for a standard return, the hold will be dropped or the charge will be adjusted to match relevant costs for the new product. For standard returns, the 15 and 30 day windows and any other charges will still apply. This may also be an option for other stocked items so please contact a CRS account manager for additional details.

Full Policy Information:

Conference Room Systems gladly accepts returns and exchanges on valid products in like-new condition, if notified within the first 15 days from the date of delivery. All items purchased via credit card during this period are subject to a 2%+ fee to cover the costs associated with credit card processing. Returns are also accepted on valid products between 16 and 30 days of the shipment date. All returns during this period are subject to a 20% restocking fee.

No returns, exchanges, or transfers of ownership are available for any of the software licenses or software issued by Conference Room Systems or related vendors. These are generally single-use licenses and must be installed only on the computer that is intended for use with the software, unless otherwise noted. Special order, custom-built, and b-stock items may also be excluded from our standard return policies

All B-stock and clearance items are sold “as-is”. While we do our best to maintain all package contents and avoid any cosmetic damages, there is no conditional guarantee that these sales will be whole or in mint condition. In the case of missing contents, we will work to provide the relevant parts whenever possible. For detailed information about particular B-stock items, please discuss directly with a CRS account manager. Returns on these products require administrative approval and are wholly at the discretion of Conference Room Systems. These products are still covered under a 90-day manufacturer's warranty, if a manufacturer's defect leads to failure.

Restrictions may apply to custom-built or special-order product, in which the manufacturer does not allow cancellations/returns or charges a restocking fee. In these cases, we do our best to provide a reasonable solution for our customers request to return or exchange, but this could involve a restocking fee as high as 50%. Some products may not be accepted at all. Notable examples that fall within the custom-built or special-order category are Cambridge Sound Management products (must be factory sealed), Epiphan products, Mersive products (10% restocking on factory sealed products and 20% for opened products), and Barco products. If you have questions or concerns in relation to specific products, please discuss directly with a CRS account manager prior to purchase.

All returns must be sent back with complete contents, in the original packaging, and inside of a separate shipping container (box or similar packaging). All incoming shipments that are not inside of a separate shipping container will be refused. Any shipments with significant damage to or markings on the original contents or packaging will receive a reduced credit for return or be refused and shipped back to the sender with cost. Cost of shipping will not be refunded on any product returns.

Please be aware that returns on bulk orders will be subject to review and approval at the discretion of CRS. It is recommended that any customer interested in a large volume of any item should purchase a single unit to test for compatibility and satisfaction before proceeding with a complete order. The majority of bulk returns will experience a restocking fee.

RMA's related to manufacturer defect should generally be handled directly through the manufacturer, unless otherwise specified for warranty or advanced replacement through Conference Room Systems. If the manufacturer requires the involvement of CRS, we will be happy to assist.
